Booking Terms and Consent
These terms apply when you book a consultation or meeting with us through our online booking page, which runs on Cal.com. You must accept them before you confirm a booking. They explain how we collect and use your personal information, as the Protection of Personal Information Act 4 of 2013 (POPIA) requires, and the terms that apply to your booking.
Last updated 15 October 2026
1. What we collect
your name, email address and telephone number;
your institution or organisation and role, and your supervisor's name if you are a student, where the booking form asks for them;
the service, date and time you choose, and anything you tell us in the booking form about your study and deadlines;
technical details that Cal.com records when you use the booking page, such as your IP address, browser type and time zone.
Please do not enter research data, participant details, health information or other sensitive information in the booking form.
2. Why we collect it
to schedule and confirm your appointment, and send you reminders and the online meeting link;
to prepare for the meeting and match you with a suitable consultant;
to contact you if the appointment needs to change;
to prepare a quote if you ask for one after the meeting;
to invoice you where a fee applies, and to keep the records the law requires.
We will not use your booking details to send you marketing unless you agree to it separately.
3. Who processes it
3.1 Our booking page and online meetings run on Cal.com (Cal.com, Inc.). Our calendar runs on Apple iCloud, and our email is hosted by xneelo in South Africa. These providers process your information on our behalf, as operators under POPIA, under their data protection terms with us.
3.2 Cal.com and Apple may store or process your information outside South Africa, including in the United States. We transfer personal information across borders only as section 72 of POPIA allows.
3.3 Only the STATS-LAB staff and consultants involved in your booking can see your details, and they are bound by confidentiality. We do not sell your information or share it with anyone else, except as set out in our Privacy Policy.
4. How long we keep it
If your booking does not lead to an engagement, we delete your booking details within 12 months of the appointment. If it does, we keep them as set out in our Privacy Policy.
5. Your choices and rights
5.1 Giving us your information is voluntary, but we cannot make a booking without your name, email address and the time you choose.
5.2 You may withdraw your consent at any time by emailing info@stats-lab.com. We will cancel any upcoming appointment. Withdrawing consent does not affect what we did before you withdrew it, or records we must keep by law.
5.3 You may ask to see, correct or delete your information, object to how we use it, or lodge a complaint with the Information Regulator (https://inforegulator.org.za). Our Privacy Policy and PAIA Manual explain how.
6. Your consent
By selecting "I agree" on the booking page, you confirm that you have read these terms and consent to STATS-LAB (Pty) Ltd collecting and using your personal information as described above. If you book on someone else's behalf, you confirm that they have agreed to you sharing their details with us.
7. Making a booking
7.1 Your booking is confirmed when you receive a confirmation email. Please check the details and tell us about any error.
7.2 Give accurate details and book one appointment per request. We may cancel duplicate bookings.
7.3 Times are in South African Standard Time (UTC+2) unless your confirmation shows otherwise.
8. Fees
8.1 Your first meeting is charged as set out in our Consulting Policy. It is free if it leads to a project with us, and we will confirm any charge with you before the meeting.
8.2 Other paid consultations are invoiced before the meeting, as set out in our Terms and Conditions.
9. Rescheduling and cancelling
9.1 You may reschedule or cancel at no charge if you give us at least 24 hours' notice. Use the link in your confirmation email or email us.
9.2 Cancellations with less than 24 hours' notice, and missed appointments, are dealt with in our Refund Policy.
9.3 If we need to reschedule, we will tell you as soon as possible and offer you another time or a refund.
9.4 If you join late, the meeting still ends at the scheduled time.
10. Online meetings
10.1 Online meetings are held on Cal Video, which runs in your web browser, with nothing to install. The link is in your confirmation email. Please check before the meeting that you can join with working sound and camera.
10.2 If a technical problem on our side prevents the meeting, we will reschedule it at no charge.
10.3 No one may record a meeting without the agreement of everyone taking part. We do not record meetings unless we have agreed this with you in advance.
10.4 Do not share your screen while it shows identifiable participant data.
11. Advice in consultations
Advice given in a consultation is general guidance based on the information you give us. Formal deliverables are provided only under a quote you have accepted. Our Terms and Conditions, including the academic integrity clause, apply to every consultation.
12. Other terms
These booking terms form part of our Terms and Conditions. Our Consulting Policy, Refund Policy and Privacy Policy also apply. If these booking terms conflict with a written quote you have accepted, the quote applies.
